Description of Job Duties:
Aid the MLT, PTA and MA departments in clerical work, recruiting, EXXAT database, and application processes
- Act as liaison between the Health Science faculty, staff, administrators and students.
- Maintain calendar and administrative scheduling the division, and Health Science faculty.
- Schedule student meetings, and produce records of these meetings.
- Set up and maintain detailed and accurate administrative files.
- Protect confidential materials and records.
- Assist the Program Directors in the development/monitoring of departmental budgets within the Health Science Sector.
- Answer telephone and take messages. Return calls and emails on program admissions and inquiries regarding our program offerings.
- Assist with recruitment events, mailings, and outreach initiatives.
- Navigate and advise students of available student services on and off campus
- Arrange for photocopying and printing. • Assist with special mailings regarding faculty projects.
- Train work-study students.
- Post fliers, posters for upcoming events.
- Advise prospective students about program and course information, both over the phone and in person.
- Fax letters, PO’s to companies.
- Inform students, by phone and posting notices on doors, of class cancellations or changes.
- Deliver messages to students.
- Maintain filing system for full-time and part-time instructors.
- Prepare mailboxes for full-time and part-time instructors.
- Prepare office hours schedules for full-time instructors.
- Ensure up to date information is available to prospective students and faculty members on the health sciences webpage.
Experience and Other Qualifications Required:
- Associate degree preferred, but not required.
- Technical training preferred in office management, secretarial skills and computer applications.
- At least three years in an active work environment and responsibility for student engagement in higher education, and/or experience in career, personal or academic counseling.
