Health Science Administrative Assistant

Description of Job Duties:

Aid the MLT, PTA and MA departments in clerical work, recruiting, EXXAT database, and application processes 

  • Act as liaison between the Health Science faculty, staff, administrators and students.
  • Maintain calendar and administrative scheduling the division, and Health Science faculty.
  • Schedule student meetings, and produce records of these meetings.
  • Set up and maintain detailed and accurate administrative files.
  • Protect confidential materials and records.
  • Assist the Program Directors in the development/monitoring of departmental budgets within the Health Science Sector.
  • Answer telephone and take messages. Return calls and emails on program admissions and inquiries regarding our program offerings.
  • Assist with recruitment events, mailings, and outreach initiatives.
  • Navigate and advise students of available student services on and off campus
  • Arrange for photocopying and printing. • Assist with special mailings regarding faculty projects.
  • Train work-study students.
  • Post fliers, posters for upcoming events.
  • Advise prospective students about program and course information, both over the phone and in person.
  • Fax letters, PO’s to companies.
  • Inform students, by phone and posting notices on doors, of class cancellations or changes.
  • Deliver messages to students.
  • Maintain filing system for full-time and part-time instructors.
  • Prepare mailboxes for full-time and part-time instructors.
  • Prepare office hours schedules for full-time instructors.
  • Ensure up to date information is available to prospective students and faculty members on the health sciences webpage.  

Experience and Other Qualifications Required:

  • Associate degree preferred, but not required.
  • Technical training preferred in office management, secretarial skills and computer applications.
  • At least three years in an active work environment and responsibility for student engagement in higher education, and/or experience in career, personal or academic counseling.
